BOOKING YOUR TRIP
Tours are not transferrable between persons. However, at the discretion of X-Plaw, we may allow you to transfer between tours under special circumstances. Please contact us at finance@x-plaw.co.za for further information.
Group accounts are no longer accepted. Individuals of group may indicate that they are part of a group booking but must maintain their own individual payment accounts with X-Plaw.
A deposit is needed to secure your seat. The deposit amount varies from tour/event to tour/event and is noted within the individual tour brochure information. Please contact us on +27 12 645 1024 or bookings@x-plaw.co.za to process your reservation.
Please note that tour/event deposits are non-refundable.
All tours require a deposit to secure a seat. Thereafter, payments can be made monthly over a period of several months prior to the tour departure date. We will distribute invoices monthly & a full statement of accounts will be sent to you once in every three (3) months.
Whilst we are flexible with the monthly payment amount, we do require that a minimum of R300 be contributed.
Payments made to us after the 5th of the next calendar month will be regarded as late payments and will be penalised & billed accordingly. Please note that two (2) consecutive missed payments, without prior arrangements, may result in your removal from the tour and cancellation terms may apply. Should you experience difficulties with your financial commitment, please contact us at finance@x-plaw.co.za.
Payment of your full tour package must be completed before the tour departure.
All Travellers need to have paid their Tour cost 3 weeks before departure date
Tour deposits are non-refundable and cancellation/transfer fees and terms may apply.
You may opt to transfer the remaining funds of your payment account to another person within your travel group. Please note that the person to which you would like to transfer the funds to must have an existing booking with X-Plaw (i.e. has paid a tour/event deposit).

Travelling alone can be scary. Our groups are filled with young adventurous and like-minded people. Our X-Plaw staff will take good care of you to ensure that your experience is just as memorable as the travellers that come in groups. We do not charge a single supplement for solo travellers. We will match you up with a same sex roomate.
Two (2) consecutive missed payments, without prior arrangements, may result in your removal from the tour/event and cancellation/transfer fees and terms may apply. Should you experience difficulties with your financial commitment, please contact us at finance@x-plaw.co.za.
Please note that cancellation/transfer fees may apply as per the following refund schedule
– Cancellation submitted 8 weeks prior to tour departure will result in a refund of 75% of total tour price
– Cancellation submitted 6 weeks prior to tour departure will result in a refund of 70% of total tour price
– Cancellation submitted 4 weeks prior to tour departure will result in a refund of 50% of total tour price
– Cancellation submitted 3 weeks prior to tour departure will result in a refund of 20% of total tour price
– Cancellation submitted 1-2 weeks prior to tour departure will result in a no refund

Your primary travel document is your passport. If you do not have a passport, apply for it well in advance. Temporary passports can be issued on short notice but they are not accepted by all foreign countries. If your passport is damaged in any way it is advisable to replace it before travelling.
Children are required to have their own passports as well as their unabridged birth certificates.
Please ensure that your passport is valid for at least 6 months after the intended date of departure. Your passport should also have at least two blank pages for entry/exit stamps.
Make a copy of your passport and other important information such as medical aid and travel insurance information. Keep a copy with you, separate from your original travel documents and leave a copy at home with your listed emergency contact.
BEFORE YOU DEPART
We encourage all travellers to obtain the full experience of the tour by sampling the food and drink of the tour destination. If you have any special dietary requirements, please inform us before tour departure to allow us to cater for your needs.
Please consult a GP or Travel Specialist Doctor to find out which if any vaccinations are required. If you suffer from any form of illness, be sure to have an adequate supply of any medications prior to departing on your trip. You must advise us of any important medical condition you may have at time of booking.
Please ensure that your medical aid is informed of your travel dates when you are out of country to ensure adequate coverage.
Travel Insurance:
It is strongly recommended that you take out travel insurance before travelling abroad. Most South African Medical Aids covers this, check with them before departure. Travel insurance should cover hospitalisation and related medical costs as well as a possible emergency evacuation. Depending on your age, physical condition and destination you should consider provision in the event of death. Medical costs abroad can be astronomical compared to South Africa. In some instances medical treatment can be withheld by the foreign country if a person has no proof of funds or travel insurance. Travel insurance that cover expenses in the event of death abroad will ensure that family and friends are not burdened with the costs for the preparation and transportation of mortal remains to South Africa. Remember to confirm the details of your coverage with your insurer/medical aid as pre-existing medical conditions may require additional cover. It is important to cover all the members of the travelling party adequately.
You will receive the contact details of accommodation as well as your X-Plaw Travel Experts, should you need to be reached in an emergency. You could also choose to activate your roaming on your local network provider or purchase a local SIM at your tour destination. Roaming services can be activated for either calling or SMS or both. SMS roaming is usually a more budget friendly option!
X-Plaw aims to promote personalized service to each and every one of our Travellers. Our tour group sizes range from 20-40 people to ensure that we deliver stellar customer service.
It is advisable to have some cash in the local currency of the destinations you will be travelling. You should be able to use debit & credit cards to withdraw money along the way. Remember that you’ll need to allow enough to cover lunches, some dinners, shopping, entrance fees to some attractions, optional activities, souvenirs, drinks and evening entertainment/nightclubs. A full list of optional activities and approximate costs will be sent to you prior to the tour departure.
X-Plaw at all times will advice on rules and regulations of the countries we visit.
As per the travel and participation waiver that each traveller must read, understand and accept – it is the responsibility of individual traveller to:
- Act responsibly and be aware of the risks
- Consider and purchase full travel insurance or an overseas health plan.
- Respect the culture and customs of the countries visited
- Ensure that travel documents are valid
Luggage is restricted to one medium-large travel bag with the maximum weight of 20 kg plus one small hand/day bag that can go on the transport with you.
Keep your personal items and travel essentials in your day bag to ensure that it is easily accessible to you. These items may include the following
- Your passport and travel documents
- Personal medication such as headache tablets
- Money
- Travel pillow
- Light jacket
To further assist, we will send you a suggested packing list closer to the time of your tour departure.
Transport modes vary per individual tour and is communicated within the individual tour brochure. X-Plaw strives to ensure that safe, road worthy and comfortable vehicles are used during our road tours.
Smoking is not allowed within our vehicles.
Consumption of your own alcohol is permitted. However, we do ask that you respect your fellow travellers and try to keep within the scheduled travel breaks.
Vehicles used are equipped with radio/CD/auxiliary capabilities. Travellers are encouraged to bring along their music to share with the tour group.
Whether local or abroad travel, make sure you Inform yourself thoroughly, prior to your trip, of the safety risks in the country/countries you intend to visit. As we are well aware, we are exposed to crime everywhere.
Basic precautionary measures will contribute to ensuring your safety, for example:
- Do not attract attention to yourself with expensive jewellery and clothing
- Take care when you pay for something – avoid flashing all your cash
- Get to know the foreign currency and use a note that requires the smallest amount of change to be returned to you
- When travelling by public transport have the correct amount of cash at hand, take care when you hand over the money and keep your eye on it.
- If secure, keep your passport, travellers’ cheques and extra cash in the hotel safe. Alternatively wear it in a money belt under your clothing and keep only the money you intend using in your pocket/handbag/wallet.
- Know where you are going. Keep a map with you and consult it regularly. Make sure that you have the contact details of where you are staying on your person at all times.
- Obtain information from the hotel in which you are staying on security related precautions in the area.
- Remember that when you are travelling to another country you, unknowingly, stand out making you an easy target for criminals.
- Keep certified copy of your passport, visa as well as the South African Representatives contact details with you.
